Cancellation Policy

The Player Pyramid

Effective Date: 18th June 2026

1. Introduction

This Cancellation Policy sets out the terms for cancelling, rescheduling, and refunds for coaching sessions provided by Charlie Croydon trading as The Player Pyramid (“we”, “our”, “us”).

By booking a session, clients, players and parents/guardians agree to this policy.

2. Client Cancellations (24-Hour Policy)

We require a minimum of 24 hours’ notice for any cancellation or rescheduling of a coaching session.

Cancellations with 24+ Hours’ Notice

Where at least 24 hours’ notice is given, the session may be:

• Rescheduled to another available time, or

• Credited towards a future session

Cancellations with Less than 24 Hours’ Notice

Where less than 24 hours’ notice is given:

• The full session fee will still be charged

• No refund or credit will be issued

3. No-Shows

If a player does not attend a scheduled session without prior notice:

• The session will be treated as completed

• No refund, credit or reschedule will be provided

4. Coach Cancellations

The Player Pyramid may cancel or reschedule sessions due to:

• Illness or injury

• Severe weather conditions

• Unsafe playing surfaces or training conditions

• Facility or venue issues

• Circumstances outside of our reasonable control

Where this occurs, clients will be offered:

• A rescheduled session, or

• A credit towards a future booking

5. Weather Conditions

As football coaching is primarily outdoors, sessions may be affected by weather conditions.

Sessions may be postponed or cancelled if conditions are considered unsafe, including:

• Heavy rain

• Snow or ice

• Thunderstorms

• Unsafe or unplayable pitches

All weather-related decisions are made by The Player Pyramid.

6. Refund Policy

Refunds are not normally provided for:

• Late cancellations (under 24 hours)

• Missed sessions

• No-shows

• Change of mind

Refunds may only be issued in exceptional circumstances at the discretion of The Player Pyramid.

7. Packages and Block Bookings

Where sessions are purchased as part of a package:

• Sessions are non-transferable

• Sessions must be used within any agreed timeframe

• Missed or late-cancelled sessions may be deducted from the package balance

8. Exceptional Circumstances

We understand emergencies can occur. In cases of injury, illness or other exceptional situations, cancellation terms may be reviewed on a case-by-case basis.

Evidence may be requested where appropriate.
